Photo & Video Consent
How we film sessions for coaching, how images may be used promotionally, and how to opt out.

Video analysis is one of the defining features of the Prime Rep Ready Academy. This page explains how we film, how footage and images are used, and what choices your family has.
Two different uses, two different consents
We treat these separately, and you can agree to one without agreeing to the other.
1. Coaching and development use
Competitive play during academy sessions is filmed so that athletes can review it the following week. Coaches use this footage to highlight what athletes are doing well, what is improving, what needs work, and why the corrections matter.
Video allows athletes to see their progress instead of simply hearing about it.
This footage is:
- reviewed with athletes and coaching staff as part of the program;
- shared with the athlete’s own parent or guardian on request;
- not published, posted publicly, or shared with other families as a matter of course;
- retained only for the duration of the program block and a reasonable review period afterward, then deleted.
Because film review is integral to how the academy teaches, participation in the program assumes consent to this coaching use. If your family cannot agree to it, please speak with us before registering so we can discuss what is possible.
2. Promotional use
We may also wish to use photographs or video of academy activity on our website, social media channels, printed materials and in program communications, to show families what the academy is actually like.
Promotional use is optional. You may decline it without any effect on your athlete’s place in a program, the coaching they receive, or how they are treated.
Where you consent to promotional use, you agree that we may reproduce, publish and display those images and footage in connection with Prime Potential Volleyball, without payment.
What we will never do
- We will not publish an athlete’s full name alongside their image without specific permission.
- We will not publish an athlete’s school, home location or contact details with their image.
- We will not sell images or footage of athletes, or license them to unrelated third parties for their own advertising.
- We will not use images in any way that could reasonably embarrass an athlete or present them negatively.
Choosing and changing your preference
Your promotional-use preference is recorded at registration. You may change it at any time by emailing info@primepotentialvolleyball.ca — no explanation needed.
If you withdraw consent, we will stop using the material going forward and will remove it from channels we control, such as our website and our own social media accounts. Please note that we cannot always retrieve material that has already been shared, reposted or downloaded by others, or that appears in printed matter already distributed.
Filming by other families
Parents and spectators frequently want to record their own athlete. We ask that you:
- film your own athlete rather than the group where possible;
- do not post footage or photographs that clearly show other people’s children without their parents’ permission;
- respect any family’s request to remove material featuring their athlete.

Facility and event filming
At some venues or events, filming may also be carried out by the facility, an event organiser or a governing body under their own policies, which we do not control.
